2. What personal information we collect

We only collect what we need. When you use the contact form on this website, we collect:

  • your name;
  • your email address;
  • the subject of your enquiry (optional); and
  • the message you write to us, which may include any other details you choose to share.

When the form is sent, our form provider and the “I’m not a robot” check may also receive technical information such as your IP address, browser type and device details. This is used to keep the form secure and to prevent spam and abuse.

Please do not include sensitive information (such as ID numbers, banking details or health information) in your message.

3. Why we use your information

  • to reply to your enquiry and arrange a discovery session or follow-up;
  • to provide information about our services that you have asked for;
  • to keep a record of our communication with you;
  • to protect this website against spam and misuse; and
  • to meet our legal obligations.

We process your information because you give us your consent when you tick the privacy policy box and submit the form, and because it is necessary to respond to your request. You may withdraw your consent at any time (see “Your rights” below). We do not sell your personal information and we do not use it for unrelated marketing without asking you first.

4. How we follow POPIA

POPIA sets out eight conditions for the lawful processing of personal information. This is how we apply them:

1. AccountabilityWe take responsibility for making sure these conditions are met.
2. Processing limitationWe collect only what is needed, lawfully, and with your consent.
3. Purpose specificationWe tell you why we collect your information and keep it only as long as needed.
4. Further processing limitationWe do not use your information for purposes that are incompatible with the reason we collected it.
5. Information qualityWe take reasonable steps to keep your information accurate and up to date.
6. OpennessWe are transparent about what we collect and how we use it, as set out in this policy.
7. Security safeguardsWe use reasonable technical and organisational measures to protect your information.
8. Data subject participationYou can ask to see, correct or delete your information at any time.

5. Who we share it with

We share your information only with service providers (“operators”) who help us run this website and handle your enquiry, and only for that purpose:

  • Formspree – receives the contact form and forwards your message to our email inbox;
  • Google reCAPTCHA – the “I’m not a robot” check that protects the form from spam;
  • our email and website hosting providers – who store and deliver the messages and the website.

Some of these providers are based outside South Africa, which means your information may be transferred and stored in other countries. Where this happens, we only use providers that are subject to laws, binding rules or agreements that give a similar level of protection to POPIA, as required by section 72 of the Act. We may also disclose information if the law requires it.

6. How long we keep your information

We keep your enquiry only for as long as it is needed to deal with it, to manage any resulting business relationship, or to meet legal requirements. After that we delete it or remove anything that identifies you.

7. How we protect your information

We take reasonable steps to prevent loss, damage or unauthorised access to your personal information, including secure (https) connections, access limited to the people who need it, and the use of reputable service providers. No method of sending information over the internet is completely secure, but we work to protect yours. If we ever become aware of a security breach that affects your information, we will notify you and the Information Regulator as POPIA requires.

8. Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you, and ask for a copy of it;
  • ask us to correct or delete personal information that is inaccurate, out of date, irrelevant or unlawfully obtained;
  • object to the processing of your personal information, on reasonable grounds;
  • withdraw your consent at any time, without affecting processing that already took place; and
  • complain to the Information Regulator if you believe we have not handled your information properly.

To use any of these rights, email us at hello@odsconsulting.tech. We may need to confirm your identity first, and we will respond within a reasonable time.

The Google reCAPTCHA check on the contact form may use cookies or similar technology and collect technical information to tell humans and bots apart; this is governed by Google’s Privacy Policy. Links on this site to other websites (such as social media) are covered by those websites’ own privacy policies.

This website and our services are intended for businesses and are not directed at children under 18. We do not knowingly collect personal information from children.

We may update this policy from time to time. The “last updated” date at the top shows when it was last changed, and the latest version will always be available on this page.
